Accounting & Administration

Position: Business Admin, HR Specialist

Primary Function: On-boarding and termination of employees to include enrollment and termination of benefits based on eligibility schedule. (ie Health, Dental, and Life Insurance, FSA, and 401K, etc.). Ensure company is in compliance with all labor laws including ACA and FMLA. Maintain employee files. Ensure employee’s needs are met. Process payroll and complete the Union Report. Maintain the Employee Compliance Board to ensure company is in compliance, to include OSHA reporting. Direct backup to Operations Department. Provide customer service, administrative support. Proficiency in Microsoft Office and PowerPoint.

Safety: Personally conduct all your activities in a manner that will comply with the mandatory government safety regulations, industry safety guidelines and company safety policy and procedures.

Training: Be proficient in the use of all company-provided software and reporting programs (i.e. Microsoft Office, Perfectware). Seek training classes to improve performance.

Scheduling: Complete employee paperwork and requests in a timely manner to stay in compliance and meet deadlines. Process benefits according to eligibility schedule. Update employee personnel files.

Human Resources: Process and maintain administrative and human resources functions (i.e. personnel files, hiring and termination processes, payroll, benefits administration, insurance programs, 401K program. Coordinate internally with other departments and with external support, on-boarding of new and terminated employees based on the New Hire Check List. (i.e. Request to add and delete employees to outlook, create user in Perfectware, request to set up in AP, vehicle insurance, Wright Express, Home Depot and Lowes). Complete E-verify. Request background checks to be performed. Comply with Local 72 guidelines and submit monthly report. File workers compensation injuries and complete all necessary paperwork for annual compliance. Maintain and update forms on employee portal. Report and document vehicle accidents. Maintain employee lists, distribute in-coming faxes, maintenance of equipment, to include copiers, postage machine, and shredder. Participate in weekly accounting and administration meetings and communicate any issues that may need manager assistance. Assist with renewals and complete annual census for benefits. Prepare insurance audits. Minimize company liability and ensure confidentiality. Keep procedures updated and accurate for job duties.

Administration Support On a daily basis, process mail. Distribute incoming faxes and forward calls and leads to appropriate employee. Back up for AP by assisting to maintain supplies inventory by ordering and stocking supplies as needed, ensure equipment is operational and paper is stocked, call for repairs when needed. AP processing experience a plus. Maintain and update electronic newsletter in a timely manner.

Service Support Provide customer service and technician support by covering phones as needed for dispatch and operations on a daily basis. Direct backup for Operations; cover dispatcher vacation, sick days, and other. Follow all procedures and work tasks to support the field, sales and management staff requirements. Continue to improve the efficiency of work product activities for your position (i.e. streamline and simplify).
